It is important to remember the goal of creating and sending invoices to clients: first is to get paid for your services and/or products, and second is to keep track of your business transactions. Because invoices also serve as a means of communication with customers and clients, it's important that you customize and personalize them to be memorable.
LessAccounting provides features that allow you to personalize your invoices in various ways. You can do this by going to your Settings page in LessAccounting, and scroll until you find each of the following buttons.
Take the time to review and customize each of these items in the screenshot below by clicking on each page. Each of these will be elaborated. I know it's a bit of a jam-packed task, but this is something you'll thank yourself for later once you get it done!
After going through all these, an invoice sample has been attached at the bottom to show you where each of these items goes. Enjoy!
Mailing Address
It's common practice to provide your contact details in invoices or proposals sent to clients. While we call it "Mailing Address" you can actually add any text you'd like here. Some ideas include:
Business Address
Website address
Phone number
E-mail address
Company Motto
Nonprofit Tax ID
You can even say a quick thanks!
Label Translation
This feature allows you to customize everything you see in your invoices and proposals. You can change the name for everything here, and can even send invoices in another language using this. This allows you to personalize your invoices and proposals to be more fit and unique to your business needs. Here are a couple of examples:
Unit Price > Hourly Rate
Proposal > Purchase Order / Order Confirmation
Reference Number > Invoice Number / Order Number
Sales Tax
You can set up various sales taxes in the Settings Page, and this will provide you the option to apply to each line item that will be in your invoice. Once set up and creating an invoice, simply select all the sales taxes that apply to each line item. You can select multiple if needed. Then, we'll automatically compute the sales taxes for you.
Logo
Logos are a great way to keep your branding in every communication you have with your clients. Remember, invoices and proposals are definitely one of the most important forms of communication with your clients! You can upload JPG or PNG files less than 4MB in file size. We recommend using images 625x333 pixels with a resolution between 150dpi - 300dpi.
Header & Footer
Headers and footers on your invoices can be great places to add a few notes to your clients, send reminders, show appreciation, information updates, or even fun facts. A header is a great place for you to write a note that you want your client to see immediately, while the footer is a great place to write a quick note to remind your client of something.
A thing to remember here is Headers and Footers are not added to your invoices by default, instead you can create a variety of templates and choose which template to use for every invoice.
Examples of headers
Here is your revised invoice. Let me know if the changes are okay.
Just a reminder that our business address has changed. Please send all payments to our new address below.
I hope you are having a super-sparkly day. I appreciate your business.
Examples of footers
Just a reminder that your payment is expected within 30 days. Call me if you have questions.
A discount has been applied to your total. Please review the line items above for details.
Fun fact: This invoice was made with love while I was wearing my favorite t-shirt.
VAT Number
A VAT number (or a VAT Registration Number) is an alphanumeric identifier unique to any corporate entity doing business in a European Union country that implements the Value Added Tax system. If you have one, add it here so we can include it on your invoices.
Reference Number
We automatically assign reference numbers to your invoices and proposals in numerical order starting with the number 0001. If you are moving to us from another system and do not want to start with 0001, you can enter whatever number you'd like your next reference number to be and we'll follow suit.
Due Date
Select a default number of days before an invoice is due so that every time you create an invoice, the due date is automatically set up. For example, I have set up 10 days as the number of days I want before an invoice is due. If today was May 1st while I'm creating my new invoice, the Due Date which will be set on default would be May 11.
This is not set in stone, however. You can always customize this for each invoice you create by just manually changing the date in the Due Date box.
Here's a sample invoice with guidance on where each of the customizations goes in.
